Company Details

Learn how to enter your company information

Company name

Enter your company name in here. This will appear on the front page of all your reports


Address lines

Enter your company address. This will also appear on the front page of your reports


Postcode / ZIP Code

Again, this will also appear on your reports.



Choose your currency from the list provided. QContractor does not provide a currency convertor and you can only choose one currency for your system (e.g. you can’t charge some things in pounds and others in dollars).


Company Image

Press the company image button and select your company image from your local pictures file. This file can be any picture, so you might want to put just your company logo, or create an image including your company trade body badges. This is the only place you can add an image to QContractor.


Company VAT number

This is the registered tax number for your company if you have one. We suggest you write VAT: (then your number) to make it really clear on your reports what this number is. It will appear on the front page of your reports. TIP The Company VAT number field is a FREE TEXT field, so you can actually write whatever you would like to appear on the front page of your reports. For example you might want to include a strap line like ‘We offer a 30 day guarantee on every estimate’ instead.


Company Registration Number

We suggest you write Reg number: (your company registration number) to make it really clear on the reports what this number is. It will appear on the front page of your reports. TIP The Company Registration number field is also a FREE TEXT field, so feel free to write whatever you would like to appear on the front page of your reports.


Terms and Conditions

Whatever you write in here will appear in your terms and conditions report. Be aware that you cannot put any images in here, and however you format your text in this box will be how it appears on the report. It might take a few attempts to make it look right, but you can check on your app each time you adjust it as this report is real time (any changes made in here will affect all estimates including previous ones).


Sign Off Text

This text will appear at the end of your estimate report to give your customer information about the estimate itself. A good example here would be ‘This estimate is valid for 14 days’


Testing Fee & Project Management Fee

You can set default values OR percentages in these cells which will automatically appear in every new estimate. Don’t worry, this value can be overwritten in each estimate you create if you want to change it.



Item Catalogue

ADD Button

Click to add a new item. It will initially appear in the list as ‘A New Item’. Select the item name to display the item details



Click to show a list of pre-prepared template items for different industries. You can expand the industry name to reveal a list of common items used. Select the items you would like to pull into your database and click ADD SELECTED ITEMS. Don’t worry, you can edit the name and details of the item once it is in your database.


COPY Button

Select an item to copy by checking it’s box, then press the COPY button to create a duplicate. You can select more than one item to copy.


TIP: All items in this list are automatically placed into alphabetical order. Refresh the web page to re-order your new items at any time.


Click the bin icon to remove the adjacent item. You can select multiple items from the list to remove. This action cannot be undone.


TIP: You can make changes to multiple items by selecting their check boxes first. E.g. you might want to change the sales tax % for all items, so click the checkbox at the top of the item list to select all items, then make the change in the details section.


Quick Setup

Learn how to quickly setup your items ready for estimating


Enter the name of your item. Remember the list is alphabetical so you may want to categorise some items e.g. Single Sockets - White


Build Type

Please select either New Build or Renovation from the list. These two build types allow you to set up two completely different pricing structures for this item if you wish to.


Copy From button

Use this button to copy the pricing for this item from the other pricing structure. BE CAREFUL, this overwrites any pricing you have already entered for this item.


How PRICE PER POINT and TIME & MATERIALS works in QContractor.


QContractor allows you create up to two different pricing options for each item and you can choose between the two within the app. You don’t have to set up both pricing options for every item. Normally, Price Per Point is used for individual items you estimate for e.g. Light switch, CCTV camera or metre of pipe, and Time & Materials is used for a group of items you sell e.g. Fitted wardrobe (doors, shelving and carcass) or a Pond (lining, groundwork, pump).


TIP: You have two different pricing structure options, one for New Build, and one for Renovation. Each one of these options allow you to set up either Price Per Point, Time and Materials or both. You might decide to use Price Per Point for a New Build Item, but the same item in Renovation might be set as Time and Materials because more work is required.




This is the simplest and quickest way to set up your master database. Simply by putting in your selling price for the item with the appropriate tax% is enough to start quoting. You can only input one value for each item, so if a number of different materials are used to create the item you should put the value of all materials together. E.g. If your item is an electrical socket, use the total of the socket, the cable and the back box. You can also include your labour value in this total.


TIP: For your labour, why not set up an item called ‘Labour - Per Hour’ and enter your hourly rate in the selling price box. You can then identify per room how much labour time is required on a project. You could also set up different labour items if you have different rates of labour for certain jobs.


Default Pricing Type

Please select the pricing type you would like QContractor to automatically use every time you create a new estimate. You can change this in the ADJUST tab of the estimate.


Your selling price per point

This is the basic setup option and gets you started with QContractor really quickly. Just enter your selling price for the item in here and QC will calculate the overall selling price by multiplying this value by the quantity you choose in the app.



Enter the percentage of sales tax you would like to apply to this item.



Detailed Setup

This method is more advanced and allows you to setup both selling and cost prices of materials used, as well as labour rates for individual items. You should use this option if your item is made up of a group of materials e.g. A home theatre system, or set of wardrobes. Using the Time & Materials option will separate the values for materials and labour in your estimates.


TIP: Every field is OPTIONAL. You only need to use the options which work best for you. You may price some items by day, and others by hour. You could leave them all blank, and only enter values in the estimate as you go within the app.

Enter values into the fields which are most appropriate to the item



Enter the percentage value of sales tax you would like to apply to this item.


Materials Markup Profit %

Enter your profit MARKUP as a percentage in this box. You can see how much each material will sell for when you click the MATERIALS button

Click this button to edit the list of materials required to make up the item


Categories setup – Materials


TIP: This section is only used for the TIME and MATERIALS setup option.


ADD button

Click to enter a new material commodity which makes up the item.



This is the cost to you, NOT the selling price.


Selling Price

This value is calculated automatically based on the cost you entered and the Material Markup percentage you entered in Details. Altering either of these values will change the selling price in real time.



This is the amount you require of this material e.g. If the item is an electrical socket, the material might be a metre of cable and the quantity might be 30 to cover yourself for this estimate. You can change this value when you are creating the estimate in QContractor.



You would only need to set this option to YES if you wanted the quantity entered to be the total quantity for the whole project. This would mean the amount you enter in the Needs Analysis of the estimate for this item will not alter the price of this material commodity e.g. Let’s say you created an item called Wireless Networking, and you set this material commodity as a  Wireless Access Point. You decide to fix your estimates based on 5 wireless access points in the project so you would set the quantity to 5 and switch isolate to YES. The estimate would then price up 5 Wireless Access Points regardless of how many you entered in the needs analysis in QContractor.


TIP: The isolate flag is designed to give you flexibility in how you approach your estimating. Most people leave it switched to NO meaning QContractor will calculate the estimate based on the amount of items you select in the app, however some people do fix the price of certain items in a bid to make the sale more attractive to the customer. Some things you win, and some things you lose, which is always the risk of fixing your price.
